Vendor Direct Solutions LLC is looking for a highly motivated and experienced Facilities & Office Services Supervisor. They will be responsible for the day-to-day operations and staff of the Facilities and Office Services departments within a law firm. The Supervisor will also serve as the point person on-site for customer issues and to ensure that customer expectations are met. This position will report directly to the VDS Operations Director.

Job Duties:

Oversee department personnel, delegating tasks and responsibilities.
Monitor workflow, scheduling, attendance, overtime, performance issues.
Manage and approve employee timesheets.
Function as a working supervisor, as needed, to develop and constantly maintain ability to perform all functions in every area – for purposes of monitoring activity, developing procedures, and understanding the workload. These tasks include, but are not limited to:
- Electronic imaging and printing.
- Scanning and converting of documents.
- Movement, storage, and installation of office furniture.
- Distribute office supplies, faxes, and mail to company personnel and/or designated drop-off locations as required.
- Conference room set ups, food catering, beverages, and kitchen inventory/upkeep.
  - Note: this position may require the handling of alcoholic beverages and/or the setup of decorations for holiday events.
Ensuring the efficiency and excellent working facility conditions of the office spaces.
Report any facility problems to building and client management for replacements or repairs.
Ensure staff provides exceptional customer service to client.
Work closely with and train floating VDS employees.
Assist VDS management with company policies and initiatives.
Act as liaison between VDS site operations and VDS management to insure immediate resolution of employee, client and/or operational issues.
Maintain records for management reports and inventory of supplies needed.
Build positive relationships and communicate effectively with client management and staff, co-workers, VDS management, and vendors.
Maintain a high level of technical expertise, industry knowledge and a professional disposition.
Handle sensitive and confidential information.

Job Qualifications:

Exceptional customer service skills.
High school diploma or equivalent required; some college preferred.
Excellent communication skills, both verbal and written.
Demonstrate ability to work in a fast-paced, deadline driven environment.
Strong leadership skills and proven ability to function as role model in the modern workplace.
Minimum of three years office services experience in a legal environment and relevant supervisor/lead experience.
Knowledge of general office facility maintenance.
Ability to interact with high level executives, administrators, attorneys, paralegals and assistants.
Experience in using reprographics equipment, including models with color copying/printing capabilities.
Experience with video conferencing equipment, tele-conferencing equipment, projectors, and wireless microphones.
Understanding of postal equipment, including standard shipping software.
Proficient PC skills, utilizing standard business software applications, are required.
Must be able to lift up to 50 pounds.
Must be able to push, pull, bend, twist, and work standing up for long periods of time.
